Agency Set-Up Review Dashboard

Background

This Dashboard was created to give you an overview of how your agency's projects are set up in HMIS.

 

Accessing the Dashboard

In HMIS, navigate to Reports then click the Data Analysis tab. Select Orange County Clarity System Reports, you will need to scroll to the Agency Management section. 

 

 

When you select Run the dashboard will begin loading. If you would like to adjust the report, you can stop the report by select the X in the right hand corner of the report. You can adjust the report to run against a specific program by selecting the Project Name in the dropdown menu. 

 

 

Reviewing the Dashboard

When the dashboard completes loading you will have three sections

 

  1. Program Descriptor Data
  2. Funding Sources
  3. Bed Inventory

 

If you find any corrections that need to be made to your program, please submit an HMIS Help Desk ticket. 

 

Program Descriptor Data

This section of the report has various data elements such as the location of your agency's program, project type and operating start date. It is recommended that your agency examines the following data elements regarding your program.

 

  • Project Type Code is based on the lodging or service your agency is providing.
  • Geocode is associated with the geographic location of the project's principal site.
  • Housing Type is based on the type of housing that is being provided such as single site, clustered/multiple sites, or scattered site.
  • Operating Start Date is the first day on which a project provided (or will provide) services and/or housing.

 

Funding Sources

This section of the report has various data elements regarding the funding for your agency's program. There can be multiple funding sources for a program. It is important to keep the funding source end date and grant end date in mind so you can submit new funding to HMIS when they expire. 

 

  • Amount is the total dollar amount of the funding.
  • Funding Source is the Federal Partner programs and their project components that have agreed either to participate in HMIS or are otherwise considered continuum projects.
  • Non Federal Funding Source is funding that comes from other sources that are not federal related funds such as local city funding or private funding sources. 
  • Funding Source Start Date is the start date when project was funded. 
  • Funding Source End Date is the end date when project was funded. 
  • Grant Amount is the total dollar amount of the grant.
  • Grant Identifier is the unique identifier for a grant. Your agency can have multiple grants. 
  • Grant Start Date is the start date of the grant
  • Grant End Date is the end date of the grant. 

 

Bed Inventory

This section of the report has various data elements regarding the bed inventory for your agency's program. The bed inventory can change throughout the year or as your agency receives more funding. It is important to update your bed inventory in HMIS as needed. 

 

  • Household Type is the household type (at project entry) served by beds and units in a given inventory record. Projects that serve more than one household type must have separate records of inventory for each household type.
  • Inventory Start Date is the date on which the inventory became available, or, for inventory under development, the date on which it is expected to become available.
  • Inventory End Date is the last date that beds were available.
  • Total Bed Inventory is a count of the total number of beds available for occupancy as of the Start Date.
  • Total Unit Inventory is a count of the total number of units available for occupancy as of the Start Date. 
  • Non-Dedicated Beds is the number of nondedicated to CH, youth or veteran beds used to house homeless persons and their household members.
  • Veteran Beds is the number of beds that are dedicated to house non-CH and non-youth veterans and their household members.
  • Youth Beds is the number of beds that are dedicated to house non-CH and non-veteran homeless youth (persons up to age 24).
  • Youth Veteran Beds is the number of beds that are dedicated to house homeless youth (persons up to age 24) veterans and their household members.
  • Chronically Homeless Beds is the beds dedicated to non-youth, non-Veteran chronically homeless.
  • Chronically Homeless Youth Beds is the number of beds that are dedicated to house chronically homeless youth (persons up to age 24) and their household members.
  • Chronically Homeless Veteran Beds is the number of beds that are dedicated to house chronically homeless veterans and their household members.
